Grichan Whitestone Partnership (GWP) is a company registered in England and Wales (company reg number 1329 9254) with a registered office GWP Hay Barn 4 Elgar Court Martin Hussingtree WR3 8TY.   

When you use our services, you will share some information with us. We want to be upfront about the information we collect, how we use it, who we share it with and the choices we give you to control, access and update your information. For the purposes of data protection legislation, we are the data controller of your personal data. 

GWP (“we“, “us“) is committed to keeping your information secure and managing it in accordance with our legal responsibilities under privacy and data protection laws where we operate. 

This Privacy Policy provides information about how we process personal information through this website, www.grichanwhitestone.com, (“Site“). 

By visiting our Site or using any of our services, you agree to your personal information being used and disclosed in the manner set out in this Policy. We will not collect personal information from you unless you have specifically agreed to us doing so (for example through your acceptance of this Policy or via an electronic tick-box or other similar measures as required by local privacy and data protection laws). 

You do not have to provide your personal information to us, but if you do not there may be limits on the services we can provide to you. 

 

The personal information that we collect and how we collect it
The primary purpose of this Site is to provide you with information regarding the services provided by GWP. 

If you are a candidate, much of the information we collect comes directly from you. We may also obtain personal information about you from third parties to help us assess your eligibility and suitability as a candidate for positions for which we are recruiting on behalf of our clients. 

We understand that you may choose to refuse or withdraw consent to the collection, use and release of your personal information, and we will record and respect your choices. Please be aware that this may impair our ability to present you to our client as a candidate for the position in question. 

We explain below how we collect and store personal information about you as you use the Site. 

 

Job Listings and Applications 

We would like to retain your personal details so that we can contact you about this application, similar positions, or our wider recruitment services in the future. If you do not want us to do this, please contact us. 

If you wish to use the Site to apply for a job, we will need to collect basic information about you, including your name, address, telephone number and email address.  

If you proceed with a job application, you may be required to submit additional personal information, such as your date of birth, your education and career history and a curriculum vitae, or resume. 

For our Clients – As well as basic contact information we will also collect information about your role and other information provided to us by your organisation. 


Newsletters

If you would like to receive one of our newsletters, we will ask you to provide us with your name, email address, job title, company name and country of residence. Please see below in relation to marketing preferences and the sharing of this information. 

 

How we use personal information 

We use the personal information we collect from you for the following purposes: 

  • processing job applications, in partnership with our clients, on whose behalf we are instructed to advertise job vacancies – this means that if you apply for a specific job, we may pass your details on to the relevant client to proceed with the application and you understand that this means you may receive further direct correspondence from them; 
  • allowing our clients, to understand who is making use of the Site and how their job vacancies are being viewed; 
  • for equality monitoring purposes, to understand the diversity of our applicant pool (as stated above, this information is anonymised and aggregated); 
  • with candidates’ permission GWP may contact candidates directly and confidentially about other potentially suitable opportunities that may be relevant in the future. 

 

If you are a Client – We will use client data to perform our Services to you and other legitimate business purposes such as marketing. 

 

Who we share your personal information with 

As well as potentially sharing your data with our clients for potential job opportunities, we also share your data with trusted third parties who help us provide certain aspects of our services, including businesses who provide technology services such as hosting for our servers and software for our client relationship management. We also collect marketing data through Google Analytics, a tracking and analytics supplier that help us improve our marketing campaigns. Keeping information secure
We do not share personal data with any third parties outside our own subtractors and group companies. We do not send your details to other agencies, and we never sell your information.
We invest significant resources to protect your personal information, from loss, misuse, unauthorised access, modification, or disclosure. However, no internet-based site can be 100% secure and so we cannot be held responsible for unauthorised or unintended access that is beyond our control. 

Your data is stored on our Cloud based CRM/ATS and this information is stored on UK based servers in a secure way, they are also working towards an Azure Environment, meaning that the data will be encrypted and even more secure. We also use technological safeguards like security software, firewalls, password protection and security policies to prevent hacking or unauthorised computer access. 

 

Automated decision-making done using the personal data, including profiling 

During the process, candidates may be subject to psychometric profiling. This profiling serves only to aid recruitment process, and ensure candidates and employers are matched correctly.
This profiling is not strictly required, however if candidates do not carry out the profiling process, we may be unable to match their details with potential employers and gauge their suitability for the role. None of the profiling used is automated. 

 

How long will keeping your records
We keep records for as long as required to provide the relevant service, and in accordance with legal, tax and accounting requirements. Where your information is no longer required, we will ensure it is disposed of in a secure manner and, where required by applicable law we will notify you when such information has been disposed of. 

Please note that even if we delete your data, it may persist on backup or archival storage for legal, tax or regulatory and auditing purposes. 

 

Control over your information  

Under the General Data Protection Regulation, you have several important rights available to you for free. In summary, those include rights to:  

  • be informed about how your personal information is being used,  
  • access the personal information we hold about you, 
  • request that we port elements of your data to another service provider, 
  • request us to correct any mistakes in your information which we hold, 
  • request the erasure of personal information concerning you in certain situations, 
  • receive the personal information concerning you which you have provided to us, in a structured format, 
  • stop any direct marketing which you can do through the unsubscribe links at the bottom of emails,  
  • object to decisions being taken by automated means concerning you or significantly affect you.
